Event Private Meetings

Private Meetings offer a dedicated and focused space for smaller groups to connect, discuss agenda items, and collaborate effectively. These meetings ensure everyone stays on topic, providing a clear distinction from the main event chat. With user-friendly features like group chat, flexible scheduling, and instant notifications, you can effortlessly set up and manage your own private gatherings, even with individuals you haven't connected with before. They are ideal for one-on-one check-ins, focused small-group collaborations, or any discussion that benefits from a self-contained environment.


Create a Private Meeting

Ready to set up your private meeting? Follow these simple steps to connect and collaborate:

  1. Locate the individual you want to connect with. They don’t need to be connected or related in any way on the platform.
  2. Tap the Private Meeting icon, located at the top right of the screen, to begin the process.

  3. Fill in the required meeting fields (details below) and invite up to 50 participants to join your discussion.

  4. Finally, tap Schedule to send out your invitations and confirm your chosen date and time.


Meeting Fields

When creating your private meeting, you'll fill in a few key fields to ensure all participants have the necessary details:

  • Meeting Title: Enter a clear and concise title for your private meeting. This title will be visible in all participants’ agendas, making it easy to identify. Required
  • Description: You can add an optional summary to succinctly explain the purpose or key topics of your meeting. This helps participants prepare in advance. Optional
  • Location: Specify where your meeting will take place (e.g., "Cafeteria," "Virtual Room 3"). Please note that this field is for informational purposes and is not directly tied to any floor plans within the platform. Optional
  • Date & Time: Select the precise date and time when your meeting will occur. This ensures accurate scheduling for all participants. Required
  • Participants: Easily invite up to 50 attendees to your meeting by selecting them from your existing contacts or test accounts. Required

Managing Your Meeting

Once you've scheduled your private meeting by pressing "Schedule Private Meeting," you'll be directed to a dedicated page displaying all the meeting details along with useful management options:

  1. Private Meeting Chat: Easily access the dedicated chat for this meeting to communicate with participants.
  2. Manage Meeting: This option allows you to change meeting settings and efficiently manage all participants.

  3. Delete Meeting: If needed, you can cancel the private meeting here. A confirmation pop-up will appear to ensure you intend to proceed with the action.


As the meeting owner or an administrator, you have additional control:

  • You can leave the meeting, or if you’re an admin, end it completely.
  • Invite additional participants or update meeting settings at any time to keep your discussion on track.

Agenda View

Your private meeting will seamlessly appear in your personal agenda, conveniently organized under its own header. At a glance, you'll see the Title, location, date/time, and organizer.

Simply tap on the meeting entry in your agenda to reveal the full Private Meeting page. From there, you can easily access the private meeting chat at any time to resume discussions or navigate to the "Manage Meeting" section to review meeting details.


Private Meeting Chat

You can access the chat for your private meetings directly from the Chat section, found at the bottom of your screen. Here, you’ll see an entry labeled: "Private meeting chat: [The Title of your Meeting]."

Tap on this entry to jump directly into the conversation. For more options, long-press the entry to reveal actions such as muting notifications, archiving the conversation, or deleting the chat entirely.



Notifications and Joining

Once you successfully schedule your private meeting, each invited participant will immediately receive a push notification. Tapping on this notification will open the Private Meeting directly, allowing them to promptly accept your invitation.

You’ll be instantly notified when someone accepts your invitation. The meeting will then automatically appear in their agenda, highlighted with a distinctive color to ensure it stands out and is easily recognizable.
