Who can Submit ? - Managing submission restrictions

Administrators can control who is allowed to submit to a call by configuring restrictions in the submission phase.
These settings ensure that only users who meet specific criteria are able to access and complete submissions.


Restriction Types

When adding a restriction, you can choose from several options that define which users are allowed to submit.
These restrictions can be combined using AND or OR logic for more precise control.

User Group Restrictions

  • User is a member of X group: Only users who belong to the selected group may submit.
  • User must be a member of a group: Submission requires membership in at least one user group.
  • User must not be a member of a group: Users in the selected group are excluded from submitting.

Submission-Based Restrictions

  • User must already have an accepted submission: Only users with at least one accepted submission are eligible to submit again.
  • User must already have an active submission: Only users who currently have an active submission in the call can submit again.

Inpexium-Based Restrictions

  • Active membership: User must have an active membership in Inpexium.
  • Committee position: Restrict by user’s committee assignment or role.
  • Geographic area: Restrict by the user’s recorded location.
  • Membership type: Restrict by type of membership (for example, standard or premium).
  • Subscription: Restrict by user’s active subscription.
  • Relationship: Restrict based on relationships defined in Inpexium (for example, parent/child accounts).
  • Event registration: Restrict to users who are registered for a specific event.
  • Custom field: Restrict by a custom attribute configured in Inpexium.
  • Product purchase: Restrict to users who have purchased a specific product in Inpexium.

Combining Restrictions

Multiple restrictions can be applied together using AND or OR logic:

  • AND logic: The user must meet all conditions to be eligible.
  • OR logic: The user must meet at least one of the conditions to be eligible.

Example 1 (AND): A call requires that the user is a member of the "Speakers" group AND has an active membership in Inpexium. Only users who satisfy both conditions will be able to submit.

Example 2 (OR): A call is configured so the user must be registered for the "Annual Conference" OR have purchased a specific product in Inpexium. Users who meet either condition will be allowed to submit.


Accessing Submission Restrictions

To configure restrictions for a call:

  1. Go to the Calls area and select the call you want to manage.
  2. Click the Template tab.
  3. Find the submission phase you want to edit and click Edit.

  4. Scroll down to the section labeled Who Can Submit.

By default, this section is set to 'Anyone,' meaning that any registered user on the platform can submit. To apply restrictions, click Add Access Restriction.
Once you have added the necessary restrictions, scroll to the top of the page and click Save to apply your changes. If you select a group-based restriction, you can choose from existing groups or create a new group specifically for this call’s requirements.
