Slayte common definitions (Glossary)

Administrator

Administrators can create calls, events, competitions, grants, outreach, and education programs within the Slayte platform. They also manage users, assign roles and permissions, and configure system settings.

 

Blind Review

Enables anonymous reviewing by hiding submitter's details from reviewers. To work properly, this must be enabled, and any manually entered submission fields to be hidden must be marked as “Hide in Blind Review.”

 

Bulk Actions

Located in the Submission List View, these allow you to perform actions on multiple submissions at once — such as assigning reviewers, modifying assignments, importing reviews, managing phases, accepting/rejecting submissions, applying tags, and sending confirmation messages.

 

Call

A call is a general term for an invitation to submit content. Content is typically collected during a Submission Phase and later evaluated in a Review Phase.

Types of Calls:

  1. Call for Conference Papers: Aimed at identifying the best presenters and presentations for a conference. It usually starts with a submission phase (where speakers upload papers) and continues with a review phase (where a committee evaluates and selects speakers).
  2. Call for Proposals / Request for Proposals (RFP): Used to find the best vendor or proposal for a project. The organization publishes a description of its goals, inviting vendors to submit proposals for evaluation.
  3. Nomination Call: Used to fill board or committee positions. Members can nominate candidates for specific roles, and a board reviews and selects nominees.

 

Call Phases

Defines the timeframe during which specific actions or settings apply.

There are two main types:

  1. Submission Phases: When submissions are accepted (at least one required per call).
  2. Review Phases: When reviews are added to previously collected submissions (optional, if evaluations are needed).

Multiple phases can exist, but must not overlap.

 

Call Reporting

Allows you to create and export real-time reports with customizable charts and metrics. Click “Add Chart” to include more visual elements.

 

Call Template

Defines all phases, configurations, dependencies, and dates for a call. For example, a template might specify that submissions from Phase 1 are reviewed in Phase X using Form A, followed by a “Senior Review” phase using Form B.

 

Calls – Released / Public / Status

  1. Released: Publishes the call, making it accessible to users (submitters and reviewers).
  2. Public: Makes the call visible to unregistered visitors.
  3. Status: Indicates if the call is currently open to submissions. The call must be “Open,” and the phase dates must include today’s date.

 

Category

Organizes calls based on specific criteria. Once set, categories appear on the main Calls page for easier navigation.

 

Customize View

Lets you adjust the Submission List View by adding custom columns, including fields from submission and review forms.

 

Description

A short explanation of the call, including guidelines, objectives, or instructions for submitters.

 

Direct Link to Submission Form

Generates a shareable link to the submission form for submitters, reviewers, or administrators.

 

Event

An event consists of multiple speaker sessions that form the overall schedule for a conference or gathering. Events can take place virtually, in person, or in a hybrid format.

 

Fields

Represent the key variables that differentiate each session within an event—such as Speaker, Topic, Location, or Track. Custom fields, defined by an administrator, are added to templates that help generate the full event schedule.

 

Filtering

Allows you to locate specific submissions by applying search criteria, sorting, or filtering boundaries.

 

Pending Drafts

In the Submission List View, incomplete submissions pending in a call are shown in the top-right corner.

 

Review

A review is an evaluation or feedback provided about a submission, experience, or proposal. Reviews are typically completed during a Review Phase by designated reviewers, who rate and comment on submissions to inform decisions.

 

Reviewer

Reviewers are users assigned to evaluate submissions and provide feedback or ratings.

 

Reviewer Allocation

Determines how reviews are assigned — either automatically (as submissions arrive) or manually (by an administrator).

 

Reviewer Group

A collection of users assigned to review submissions in a call. Reviewer groups simplify assignments and help track pending reviews.

 

Session

A session is the fundamental building block of an event. Each session includes details such as speakers, topics, content, and track information. Sessions are scheduled for specific times and locations.

 

Shared Review

Allows reviewers to share reviews via direct links.

 

Speaker

A speaker is a person who presents or delivers information on a specific topic to an audience during a session.

 

Submission

A submission is the content submitted to a call — such as a paper, proposal, or idea — for consideration, approval, or processing.

 

Submit

Allows administrators to test the submission process from a submitter’s perspective while still logged in as an administrator. Useful for verifying form logic and user experience.

 

Submitter

Submitters are users who provide or upload content to a call.

 

Tags

Free-text labels are used to categorize submissions. Tags can be applied individually or in bulk for better organization.

 

Time Zone

Ensures all phase dates, notifications, and created events align with the selected time zone. Administrators can configure this in event settings.

 

Timelines

Displays a summary of all phases in a call, their respective dates, deadlines, and any overlaps between them
