Call: A call is a general term for an invitation to submit content. Content is typically collected during a Submission Phase and later evaluated in a Review Phase.
Submission: A submission is the content submitted to a call. For example, in a Call for Papers, a submission could be an abstract proposal sent by a submitter.
Review: Reviews are evaluations completed on submissions during a Review Phase. A designated group of users, known as reviewers, are assigned to review and rate submissions.
Submitter: Submitters are users who can submit content into a call.
Reviewer: Reviewers are users assigned to evaluate submissions and provide feedback or ratings.
Administrator: Administrators can create calls, events, competitions, grants, reach, and education programs within the Slayte platform. They also manage users and assign roles and permissions.
Reviewer Group: A collection of users assigned to review submissions in a call. Reviewer groups simplify assignments and help track pending reviews.
Call Phases: A call phase defines the timeframe during which certain actions or settings apply. There are two types:
Multiple submission or review phases can be added, but they must not overlap to avoid ambiguity in which phase a submission belongs to.
Submission Phase: The timeframe in which submissions are accepted. A call requires at least one submission phase.
Review Phase: The timeframe when reviews are added to previously collected submissions. This phase is optional and only needed when evaluations are required.
Blind Review: Enables anonymous reviewing by hiding submitter details from the reviewer. To work properly, this must be enabled, and any manually entered submission field to be hidden must be marked as “Hide in Blind Review.”
Shared Review: Allows reviews to be shared between reviewers through direct links.
Reviewer Allocation: Determines how reviews are assigned. You can select automatic (reviews are assigned as submissions arrive) or manual assignment.
Time Zone: Ensures all phase dates, notifications, and created events align with your selected time zone.
Call Template: Defines all phases, configurations, their dependencies, and dates. For example, a template may specify that submissions from the first phase are reviewed in Review Phase X using Form A, followed by a “Senior Review” phase using Form B.
Bulk Actions: Found in the Submission List View; these let you perform actions on multiple submissions at once. Options include: assign reviewers, modify assignments, import reviews, manage phases, accept/reject submissions, apply tags, and send confirmation messages.
Tags: Free-text labels used to categorize submissions. Tags can be applied individually or in bulk for better organization.
Calls – Released: After creating a call, toggle the “Released” option to allow submitters access.
Category: Organizes calls based on your criteria. Once set, categories appear on the top-level Calls page.
Customize View: Lets you adjust the Submission List View by adding custom columns, including fields from submission and review forms.
Filtering: Lets you locate specific submissions by applying search criteria. You can filter by boundaries, or sort in ascending/descending order.
Pending Drafts: In the Submission List View, you can view incomplete submissions pending in a call. These appear in the top-right corner.
Call Reporting: Enables the creation and export of real-time reports with customizable charts and metrics. Click “Add Chart” to add more.
Status: Indicates if a call is currently accepting submissions. To be open, the status must be set to Open, and the phase dates must include today’s date.
Public: Makes the call visible to unregistered visitors of your Slayte site.
Released: Publishes the call, making it accessible to users. Submitters and reviewers can only engage with the call if this setting is enabled.
Direct Link to Submission Form: Generates a shareable link to the form for submitters, reviewers, or administrators.
Description: Add a brief explanation of the call. Include guidelines, objectives, or instructions for submitters.
Submit: Lets you test the submission process from a submitter’s view while still logged in as an administrator. Useful for verifying form logic and flow. See our article on Experiencing How to Submit for more information.
Timelines: View a summary of all phases in the call, their respective dates, deadlines, and any overlap between them.
