Assign Reviewers

You can assign an individual reviewer or a reviewer group to evaluate submissions in your call. Reviewer assignments can be configured during the initial call creation or after the call is already live. You can choose to allocate reviewers automatically or manually, depending on your review process and workflow requirements.


Configuring Review Settings

In the call you want to configure, go to the Settings tab and click Edit. This will enable you to modify the call’s configuration. Scroll down to the Review Settings section and adjust the following options:

  1. Blind Review: Hide or show the submitter’s identity to reviewers. Use this option to reduce bias when knowing the submitter’s identity might influence scoring.
  2. Shared Reviews: Hide the identities of other reviewers assigned to the same submission to avoid influencing feedback or scores.
  3. Reviewer Allocation: Choose between Manual allocation (assign reviewers later) or Automatic allocation (assign reviewers as submissions arrive).
  4. Communication: Enable or disable communication between administrators and reviewers. Automated emails can be set up in the Review Phase’s Communications section.
  5. Availability: Allow reviewers to indicate their availability to accept and complete assignments.


Reviewer Allocation – Automatic Assignment

Select Automatic if you want submissions to be assigned to reviewers (or reviewer groups) as soon as they are received. Once selected, the Reviewer Pool section will appear with the Set Review Configuration button.

Click Set Review Configuration to open a pop-up where you will configure:

  1. Adding Reviewers to the Pool: Use the search bar to add individual reviewers one by one, or select a reviewer group (you can create one if needed).
  2. Assignment Rules: Choose one of the following:
    1. Each submission is reviewed by one reviewer: A single reviewer from the pool is assigned to each submission.
    2. Each submission is reviewed by every reviewer: All reviewers in the pool are assigned to each submission.
    3. Custom: Set a minimum and maximum number of assignments per reviewer and per submission, and choose the assignment strategy (Evenly, Random, or Last Queue).


Reviewer Allocation – Manual Assignment

Select Manual if you want to control reviewer assignments after submissions are received. This is configured from the Reviewers Tab, and it offers the following  options:

Volunteer Reviewer Invitation

Invite external individuals to join as volunteer reviewers. This is useful if your current reviewer pool is limited or you want additional perspectives. Volunteer reviewers can also indicate their availability.

  1. Go to the Reviewers tab and click Add Reviewer.

  2. In the pop-up, search for an existing user or add a new one.
  3. The invitee will receive an email and can accept or decline the invitation.

Assigning Reviewers to a Single Submission

Assign reviewers directly from a submission’s detail page:

  1. In the active call you are working with, go to the Submissions tab and click on the "View" button to open the submission.

  2. Scroll down to the Reviews section, click Add Reviewers.

  3. Search by name or email for the reviewer or reviewer group.
  4. Select one or more reviewers/groups and click Assign Reviewers.

You have the option to mark the check box to Send a notification about the assignment to the user.

Assigning Reviewers via Bulk Assignment

Bulk assignment allows you to assign reviewers to multiple submissions at once:

  1. From the Submissions list, select the submissions to assign.
  2. Click Bulk Action at the top left.

  3. Select Assign Reviewers from the drop-down menu.

In the bulk assignment, similar to how you set up the automatic allocation, you can:

  1. Adding Reviewers to be assigned: Use the search bar to add individual reviewers one by one, or select a reviewer group (you can create one if needed).

  2. Assignment Rules: Choose one of the following:
    1. Each submission is reviewed by one reviewer: A single reviewer from the pool is assigned to each submission.
    2. Each submission is reviewed by every reviewer: All reviewers in the pool are assigned to each submission.
    3. Custom: Set a minimum and maximum number of assignments per reviewer and per submission, and choose the assignment strategy (Evenly, Random, or Last Queue).
