Allow Co-Author Collaboration

The Co-Author feature allows you to associate multiple authors with a single submission. This is useful when a piece of work is created collaboratively, so that all contributing authors can be added without each person having to create their own submission.


To Enable Co-Author(s)

  1. Navigate to the desired submission phase.
    Open the submission phase where you want to allow co-authors. This ensures that the feature is enabled for the correct phase of your call.

  2. Enable the Co-Author feature in Submission Settings.
    Under the Submission Settings section, check the box to activate co-authors for this submission phase.

    This makes the co-author fields available to submitters when completing their forms.

  1. (Optional) Customize author labels.
    You can rename the Co-Author or Primary Author labels to terms that are more familiar to your team or better match your project’s terminology. For example, you might use “Contributors” instead of “Co-Authors.”

  2. Configure additional co-author options:
    These options allow you to control how co-authors are found, added, and included in the submission process.

    • Co-authors can be found by their email address: Allows submitters to search for co-authors by entering an email. This is useful if authors are already in the system.
    • Allow adding new users as co-authors: Lets submitters invite people who are not yet in the system, expanding participation.
    • Co-authors Opt-In: Requires invited co-authors to confirm their participation before being officially linked to the submission.

  3. Save your changes.
    Click Save in the top-right corner to apply your settings and make the co-author feature available for that submission phase.
